Philanthropy and Digital Media Position

The Entertainment Industry Foundation (EIF) is seeking a Philanthropy and Digital Media position to assist the Vice President of Philanthropy & Community Relations and the Senior Vice President of Digital Media in creating efficient, smooth, and seamless operations for both teams. Provide administrative and programmatic support to the Vice President of Philanthropy & Community Relations and the Senior Vice President of Digital Media. Assist on special projects and reporting as needed.
KEY RESPONSIBILITIES:
* Keep the marketing calendar up to date with all team activities
* Answer phones
* Roll calls
* Maintain lists of action items and to-dos
* Provide reminders
Prepare administrative documents for review:
* Invoices
* Time Sheets
* Expenses
* Travel Reports
* Correspondence
* Other as needed
Plan, execute, and follow-up on meetings:
* Assist in researching and securing locations or dial-in and/or Skype or Google Hangouts
* Assist in the design and development of meeting materials
* Print/distribute materials for meetings
* Take notes and send to participants after approval
Plan travel:
* Research and present travel options for review
* Book approved travel
* Provide travel documents packets
File management:
* Design, implement and assure maintenance of a filing system
* Design, implement and assure maintenance of marketing files
* Keeping easy to use/find files in hard copy
Other related duties as assigned.
Desired Skills and Experience
KEY QUALIFICATIONS:
* A minimum of a bachelor’s from an accredited institution of higher learning
* Two years relevant experience as an administrative assistant, preferably in a philanthropy or media-related field. Experience with gifts or grant making is a plus
* Excellent verbal and written skills
* Strong multi-tasker who thrives on the ability to develop and see multiple projects simultaneously through to successful completion; strong organizational skills with attention to detail
OTHER SKILLS/CHARACTERISTICS:
* Function as an integral member of the overall teams, and provide both recommendations and support as appropriate
* Demonstrate outstanding organizational skills with the capacity to be highly task oriented
* Drive administrative tasks forward, while tracking and meeting deadlines
* Communicate information effectively and efficiently to appropriate parties
* Demonstrate strong personal compatibility with and commitment to EIF’s philosophies and mission while maintaining a high degree of professionalism
* Function as an integral member of both teams
* Demonstrate the personal attributes of discretion, maturity, respect, and professionalism
* Proficiency in Microsoft Office suite. Photoshop experience is a plus
